POSITION SUMMARY:
This position provides administrative support for the Society’s Tiverton Regional Office.
RESPONSIBILITIES:
Reporting to the Supervisor of Administrative Services, the job has responsibility for carrying out a variety of administrative support functions, such as routing correspondence, preparing mailings, arranging meetings and travel, and entering data.
This is a part-time (20 hours/week) unionized position. The job is generally daytime hours Monday to Friday, with infrequent requirement for evening and weekend work. The nature of the position limits the degree to which remote work is possible, and the position is primarily on site at the Society’s Tiverton, Ontario office.
Salary wage for this position is approximately $44.00 - $51.74 per hour.
QUALIFICATIONS/SKILLS:
- Community college-level Certificate in office administration or a directly related field, or equivalent.
- At least one year of prior relevant office and customer service experience, including experience with a majority of the duties required of the position.
- Strong preference for work with a labour union and/or in a unionized environment.
- A high level of proficiency in Microsoft Office, particularly Word, Outlook and Power Point. Experience using a database application, ideally a membership database.
REQUIREMENTS:
- Attention to detail to ensure accuracy of data entered and manipulated.
- Ability to work cooperatively with union staff, members and officers.
- Ability to convey information and provide clear explanations.
- Maintain confidentiality in dealing with sensitive Society information.
- Ability to work independently to meet established deadlines.
MAJOR DUTIES:
- Respond to requests by greeting and routing telephone, walk-in and e-mail contacts (reception).
- Route mail and courier deliveries.
- Maintain office supply inventory, and request orders through responsible staff as required.
- Maintain and order sundries for the regional office in accordance with established standards.
- Coordinate logistics for a variety of meetings and events (local meetings, collective bargaining, training, local council, etc.), under the direction of Central Administrative Staff.
- Schedule training modules under the direction of Local leadership, liaise with training providers, and maintain training database.
- Enter and update records in the grievance, and related databases.
- Verify and submit invoices for approval.
- Prepare and print documents of various types.
- Draft minutes for a variety of types of meetings.
- Make hotel bookings for Local leaders, under the direction of responsible Central staff.
